My client, a luxury Property company based in Mayfair, are looking for an experienced, proactive and efficient PA to support the Head of Travel and Head of Leisure, as well as the wider Travel and Leisure teams. Experience within the Property industry is ESSENTIAL for this role. 

PA Support to Head of Travel and Head of Leisure:

Extensive inbox and diary management & continuous reprioritisation of tasks/meetings, ensuring key stakeholders' daily schedule is manageable, they arrive to meetings on time and are well-prepared (pro-actively collating materials for meetings);
Arranging and setting up internal/external meetings, conference calls & video conference across multiple time zones;
Ensuring regular team meetings are set up for both teams, including bi-monthly Vision Group meetings for divisional heads;
Competent use of travel booking sites, flights, trains, taxis, hire car, visas etc;
Ensure that travel bookings are made at the earliest available opportunity and that the cheapest appropriate fare is taken if possible;
Organising travel and attendance of international conferences for both teams throughout the year (up to approximately 12);
Overall co-ordination of TFWA Cannes conference annually, for the Travel Team (up to 9 delegates), to include stand design and shipping, registrations, travel, accommodation, client dinners and coordinating diaries and appointments for the week.

Administrative Support to Heads of Department as well as the wider Travel and Leisure Teams:

Creating and formatting property packs using PowerPoint, including pitch documents;
Collating property schedules; printing, binding reports and presentations;
Maintaining and updating property schedules using word or excel;
Creating weekly Retail News Bulletin and circulating to wider firm;
Compilation and processing monthly expenses claims;
Liaising with IT and mobile telephone provider to resolve any issues that arise;
Organising annual summer team off site meetings and away days;
Assisting with organising fundraising events for charity;
Being a willing and always approachable, dependable team player in the wider Admin Team;
Provide seamless cover for another team, when the PA is on annual leave and carrying out any other reasonable management requests (i.e. ordering stationery, filing, answering phones, photocopying, and general office duties.);
Ad-hoc audio typing when typist is on annual leave
 
The Person

Proven experience as a PA supporting at senior level, as well as large teams
Experience within the Property industry or similar
Excellent communication skills written and verbal
Proactive and efficient approach
Strong organisational and time management skills
